Scope

This Privacy Policy explains our policy for dealing with personal data that we collect through our website http://www.animalsasia.org/uk, any related Animals Asia website, social media page, internal website, intranet and any Animals Asia mobile applications (each, a “Website”), and the privacy of individuals who provide personal information by any other means to Animals Asia, including either physically, verbally or electronically, such as through third-party sites for example from Just Giving and Virgin Money Giving and Realbuzz .

We are committed to using your personal information in accordance with our responsibilities. We are required to provide you with the information in this Privacy Notice under applicable law which includes:

What information is collected?

Animals Asia collects personal information that you provide to us for a specific purpose. This information may include but not be limited to name, address, telephone numbers, date of birth, email address, Gift Aid declarations, a record of communications we’ve had with you, your communication preferences, your donations, photos and videos, next of kin details if you participate in an event with us, and bank/credit card details.

How Animals Asia collects your personal information?

Where possible, Animals Asia will collect personal information directly from you. This may include a number of ways, such as through donations online, purchasing merchandise or taking part in an event or campaign.

This could be via our website http://www.animalsasia.org/uk, any related Animals Asia website, social media page, internal website, intranet and any Animals Asia mobile applications (each, a “Website”), through third-party sites for example Just Giving and Virgin Money Giving and Realbuzz.

We may also update personal information from agencies or public registers to make sure we are not contacting anyone registered with the Telephone Preference Service or the Fundraising Preference Service.

We may also collect personal data about you from publicly available sources, and from third party suppliers. Please see the Analysis, targeting and segmentation section below for more information

How Animals Asia uses your data?

Animals Asia may collect your personal information for a number of purposes, including:

  • Volunteering and other support: to enable you to assist us with volunteering, community fundraising, advocacy and other activities where we seek the community’s assistance, we need to communicate to you about the work we do so you are able to pass this information to the public about how they too could get involved with Animals Asia
  • Marketing and fundraising: to send you information about donations - including how to Gift Aid these, campaigns and events such as processing fees, administering the events and filming and/ or taking photos to use in future fundraising materials
  • Email & SMS marketing: Animals Asia asks for consent to send you marketing information by email or text message. This means you’ll only hear about the work we do via these two communication channels if you have told us it’s OK to contact you in this way. Some types of communication are petitions, quarterly newsletters, rescue missions, information about events,
  • Postal & Telephone marketing: Animals Asia will rely on the Legitimate Interest lawful basis to send you marketing information by post at the address you have provided us, or by calling you on the telephone number you have provided. This means that we will send you post or call you until you tell us you no longer want to receive communication via these channels. Some types of mailings you’ll receive from us are our quarterly appeals, quarterly newsletters, annual review, shop catalogues, surveys, Gift Aid requests. The types of telephone calls you’ll receive from us are campaigns to encourage regular donations or to see whether you have capacity to increase the regular donations you give us. We may from time to time call you to find out your views on Animals Asia and whether we can do any better.   • Legacies: we will record that we’ve been told a supporter is leaving a legacy and will administer the pledge accordingly
  • Retail - online or physical: for fulfilment of products such as the merchandise purchased and services
  • Research: to conduct and/or fund research into Animals Asia programs and services or research into supporter attitudes
  • Analysis, targeting and segmentation: to allow us to gain a deeper insight into our supporters so we are able to send marketing which is tailored and relevant.

The information used could be your preferences, interests, and capacity to give financially in order to establish whether any of our supporters has the potential to give for the first time or to give more. This may be by desk research, profiling and screening techniques to analyse your personal information so we can build a profile to contact you with relevant information, to be prepared when we meet you, or to help us find other people like you who might like to show their support. In certain instances, we may add publicly available information to our analysis - for example addresses, information from Companies House or Charity Commission Registers, newspaper and web articles, social media posts, or typical earnings in an industry. This helps to give us a fuller picture of who supports Animals Asia and whether it is appropriate to make an approach for increased giving, or to work out whether it would be appropriate to ask someone to consider leaving us a legacy. This helps us to make appropriate and relevant approaches and target our resources more effectively. Animals Asia may also use geo-demographic information and measures of affluence to tailor asks accordingly. We may on occasion use third party suppliers (some examples are: Factary, or Prospecting for Gold or Wealth-X or Experian Mosaic) to provide us with the aforementioned profiling information and we would only provide them with the elements of data we hold about you to make this task possible

  • Email tracking: We also carry out email tracking such as when an email has been opened or when links were clicked on. This allows us to measure whether our email communications are successful and to tailor future emails accordingly.
  • Other issues: communicating with you in relation to our operations, activities and objectives, to verify your identity, to improve and evaluate our programs and services and to comply with relevant laws.

Who does Animals Asia disclose your personal information to?

Animals Asia’s Suppliers

We may share personal data with service providers who perform functions and services on our behalf. Such third parties will be provided with personal data necessary to perform the services on our behalf but are not authorised to use such information for any other purposes. We will have the relevant processing agreements in place to adhere to legal requirements.

Facebook and other social media sites

We may also use your email address and telephone number to link to Facebook or other social media sites in order to identify other users of these sites whom we believe would be interested in Animals Asia, and we may then show them Animals Asia content. We only do this where you have given your consent to receive marketing emails, or have not opted out of receiving telephone calls, and we keep your data secure by encrypting it. No data we hold about you is retained by the third party.

There are two ways to prevent this use of your data, you can either update your preferences at Animals Asia by opting out of email and telephone marketing or you can do this via the social media site:

Updating your preferences with Animals Asia will not guarantee that you never see Animals Asia content on social media, since the social media site may select you based on other criteria and without your data having been provided by Animals Asia.

Where legally required

We may share or disclose your personal information if we are required to do so by any law or court order (for example to government bodies, statutory bodies, or law enforcement agencies for tax purposes, where it is in the public interest, or the prevention and detection of crime, subject to appropriate protection in law).

Animals Asia may transfer your personal data outside the EEA. If it does so, this may occur under the protections of the European Commission's standard contractual clauses but will otherwise only take place where appropriate standards and safeguards are in place.

How does Animals Asia keep your information secure?

Animals Asia will take such steps as are reasonable in the circumstances to protect the personal information that it holds from misuse, interference and loss and from unauthorised access, modification or disclosure. We will take reasonable steps to ensure that hard-copy and electronic records containing personal information are stored securely. This includes having internal policies that require that records containing personal information are only accessible by people within Animals Asia who have a genuine “need to know”. As well as staff training and secure IT systems.

No data transmission over the internet can be guaranteed to be 100% secure. As a result, while we strive to protect your personal information, Animals Asia cannot ensure or warrant the security of any information you transmit to us over the internet, and you do so at your own risk. Once we receive your transmission, we make reasonable efforts to try to ensure its security both on our systems and while in transit between our systems and the systems of the companies who provide us with various services.

Animals Asia will take such steps as are reasonable in the circumstances to destroy or de-identify personal information should Animals Asia no longer need the information and the information is no longer required to be kept by law or an order of a court/tribunal.

How does Animals Asia keep your payment information secure?

Online donations are securely processed by our PCI (Payment Card Industry) compliant payment service providers. Your payment details are collected in an encrypted form (SSL Protocol). Any offline donations that you make by cheque, monthly debit or credit card are securely processed either by Animals Asia or our PCI compliant trusted service providers. Any credit card details provided to Animals Asia over the phone are retained only for as long as it takes to securely process your payment.
